Setting Up and Managing Memberships: Subscriptions

In this article:

What is a Subscription?

A Subscription is a membership option for class credits that auto-renews on a time basis (weekly, monthly, etc.).

The subscription of class credits can include any combination of classes (Virtual, In-Person, Private Virtual, Private In-Person, On-Demand) and collections. You can also offer class-specific packages such as cycling classes, boxing classes, HIIT classes, and more! You can edit the details anytime; they will change on your client's next renewal. If you unpublish a subscription, it will not renew for the client. Read the rest of the article for more information.

How do I create a Subscription?

  • To create a custom membership, head over to the Products and Services tab and select the Subscription/Package option.

  • Once you are there, press the “+” button to Create a New Package.

  • Enter the name of your subscription at the top of the page.
  • You will see an option to make this membership a Package or a Subscription. Select Subscription.
  • Choose the Renewal Frequency. This can be weekly, monthly, yearly, or a custom period (for example, every 45 days).

Enable or disable the following options:

  • Add an introductory offer: Toggle this on if you want your package to include an introductory offer.
  • Hidden on profile: Toggle this on if you want the package hidden from your public profile. Clients with a direct link can still purchase it.
  • Allow client to cancel online: Toggle this off if you do not want clients to cancel packages themselves.

Enter your Subscription details:

  • Short description: Displayed to clients on the membership card header.
  • Amount: The cost of the membership.
  • Long description: Shown on the Membership Details page. Only fill this out if you are not using the formatted description.
  • Formatted description: Allows rich text and video. Use this instead of the long description, not both.

Decide what content can be redeemed with this subscription:

  • Items to give credits to: Which items you like to give credits to and how many
  • Class types included: Which class types are included and how many credits apply to each.
  • Mix and Match: Toggle this on to allow clients to use credits across class types. Enter the total number of credits and select Mix & Match for each class type.

You can auto-enroll clients into live classes when they purchase the subscription. This is useful for challenges or recurring programs. Clients will receive confirmation and reminder emails automatically.

If your subscription includes a contract, enable Contract Terms:

  • Toggle whether the subscription has a contract.

  • You can choose a contract that already exists or you can create a new one

  • Choose whether clients can cancel online after the contract ends.
  • Decide if the subscription auto-renews after the contract ends.
  • Set the contract duration (weeks, months, or years).
  • Add a thumbnail image for the membership, following the recommended size.
  • Review all details to ensure everything is correct. Then save as Published or Unpublished, depending on whether you want the subscription to go live.

How do I edit a Subscription?

  • Navigate to the membership you want to edit and click the Edit button in the top-right corner.

Once you are in Edit Mode, you can either edit the current version of the membership or create a new version.

Please note:

  • All edits made to the current version take effect immediately.
  • To edit fields that are disabled, you must create a new version.
  • Creating a new version will unpublish the current version.
  • All clients on the current version will be switched to the new version on their renewal date.

To create a new version, click + Create New Version.

  • Make any changes you need and click Save.
    • Example: adjusting the price from $100 to $125.
      • When adding the new price, the package will be available immediately at the $125 price point, and those currently on the subscription will update to $125 at their next renewal (if the contract has completed).
      • *Note* when making pricing adjustments - those who are currently on discounts (using a discount code) will need to be updated if their prices are expected to remain consistent after the price adjustment.

Dynamic Start Date

You can choose to have a package or membership start at the time a client purchases it or when they book their first class.

Create a new membership or package, or edit an existing one by clicking Create a New Version.

  • Scroll down to Dynamic Start Settings and toggle it on to have the membership or package start on the first booking.

Limit start by: This sets the maximum amount of time a client has to book their first class.

  • Membership: Setting this to 61 days means the client has 30 days from the purchase date to book a class and start the membership. After 30 days, the membership is no longer usable.
  • Package: Setting this to 30 days means the client has 30 days from the purchase date to book a class and start the package. Packages also expire after a set number of days. The expiry date is set after the first class is booked.
