Class Templates

Class templates are a way to quickly create a new series of classes without having to recreate every aspect of a class. Things to note about class templates:

  • They can be used to create IRL and Virtual Public and Private classes

  • They cannot be used to create appointments

Important:

After creating a class template, the system will process it overnight. This means classes will appear on your schedule the following morning, not immediately.

Global Studio Settings

Enable Class Templates

  • Go to Tools > Profile > Settings and scroll to toggle on "Class Templates."

Scroll up to "Class Templates"

  • Choose how far into the future a series is created. For example, if you create a series for 12 months but only want 6 months published at a time, set it to 6 months.

Choose how often new classes in a series should be created. For example, if you set this to 1 month, additional classes will be created every month.

    • Tip: This is useful if you plan a year’s worth of classes but want them added to your calendar quarterly. For instance, put 3 months in the initial schedule and 3 months in the next section, so new classes are launched every quarter.

Creating a Template

  1. Go to Schedule & Programming

  2. Scroll down to Class Templates

  3. Click the yellow "+" button

  4. Here you will create the default settings. All of these can be adjusted at the series level.

  5. Click "Save"

Creating a Series

Important Notes

  • When you create a series the classes will be created between 11pm - 7am PST the same night

  • If you edit the Class Series Template after the classes are created, it will not update already created classes. It will only affect future classes that have yet to be created.

  • If you want to update a series after it is created, go to your calendar > find the series > edit it from there

Creating the Series

  1. From the Class Template you created above, scroll down and click "Add a New Class Series."

  1. Some information will pre-populate based on the Class Template, all of which you can edit.
  • Enter the basic info:
    • Recurrence: Choose options like weekly, monthly, etc., to schedule classes on the same day each week or month.

Important: Editing a series after it’s on your calendar

      • Example: You make a series recur on M/W/F at 7am.
      • That series is created and appears on your calendar.
      • If you edit any class and choose "edit entire series," it will edit all classes in that series on your calendar (e.g., M/W/F at 7am).
      • It will NOT edit the template.

        Optional Info:

    • If you are creating an "In-Person" series, you can check the box to create a virtual series as well.
    • Note: The virtual series is not linked to the in-person one. It duplicates all information and makes it virtual. When editing later, you must edit the in-person and virtual series separately.
    • Click "Save."

Reminder: Classes will be created overnight, based on the settings from the first section above.

Editing A Class From The Template

  1. You can edit the information in a class template or series for future iterations of the class as well as the current classes listed on the calendar if desired.
  2. To change classes on your schedule go to your applicable class series and choose the class (ex: Wednesday 6pm Yoga Class) and click the edit icon (three dot menu, edit button)
  3. You can edit any information the class that is needed (name, instructor, time, price, etc).
  4. You have the option to save the information for future iterations of the class that will populate to the calendar and apply that change to existing classes on the calendar.
    1. To do so, make sure you toggle the "Edit Existing Classes As Well". When you click save it will both update all existing classes and future versions created for this type.

Classes Not Appearing on the Calendar Due to Incorrect End Date

Classes may not appear on the calendar if the end date is set incorrectly.

This issue occurs when the end date of the classes is set to one day before the start date. When this happens, the system treats the class as already expired, preventing it from displaying on the calendar.

To resolve this issue:

  1. Review the class start date.
  2. Ensure the end date is set to the same day as, or a date after, the start date.
  3. Save the changes.
  4. You will need to wait at least 24 hours to show on the calendar
