Introduction

This guide provides an in-depth overview of the Roster Eligibility feature, designed to help you filter and manage class visibility for your members. By the end of this guide, you will understand how to implement and utilize the feature to control class access based on specific criteria, such as introductory class completion or rank in martial arts.

User Cases

  1. Make it easier to check-in members to a class by having them pre-populate on the class page (note, they are not yet booked, you are just seeing who can take the class)

  2. Introductory classes: restrict access to all classes until someone takes an intro class

  3. Martial Arts: restrict access to classes based on belts or age groups

Important Notes

  1. Any class without a tag will be viewable by anyone

  2. The settings can be applied to classes and events

Step-by-Step Instructions

Activating the Roster Eligibility Feature

To begin utilizing the Roster Eligibility feature, you must first activate it. Navigate to the tools section, then proceed to the profile settings. Search for "roster" to easily locate the necessary options. Activate the feature to display eligible users and filter classes based on eligibility.

Using Tags to Determine Eligibility

Initially, the roster will not display any eligible members. To populate this list, you need to assign tags to your classes and members. Start by creating a new tag, such as "roster," and edit it to enable the gate filter content. This will control the visibility of classes for tagged members.

Using Tags to Determine Eligibility

Tagging Members and Classes

Once the tag is created, apply it to members and classes. You can tag individual members directly through their profiles or assign tags to entire memberships, making all members under a specific membership eligible. Additionally, tags can be applied to ranks, which is particularly useful for martial arts classes.

Managing Class Bookings

With the roster set up, eligible members will be displayed along with icons for booking. Clicking these icons allows you to book and check in members efficiently. If a member lacks a package, the system will prompt you to check out the user.

Visibility of Untagged Classes

Classes without tags will remain visible to all members. To ensure all classes are gated, apply tags accordingly. This logic also applies to events; untagged events are visible to all, while tagged events are restricted to members with the appropriate tags.
